Booking Staff & Availability

Staff records represent the people or providers who can deliver Booking services.

Booking providers and staff list

Providers/staff are the people who deliver services. Their availability is one of the inputs used when bookable times are calculated.

What this feature is for

Staff records represent the people/providers whose time can be booked. Their service assignments and availability rules are fundamental to slot generation: a service can be correctly configured yet still show no availability if no eligible staff member is working at the requested time.

Working hours describe the normal repeating schedule. Special days temporarily replace normal hours for specific dates. Time Off/Holidays remove availability. Use the most specific mechanism rather than constantly editing the weekly schedule for one-off changes.

A practical way to use it

  1. Create the staff/provider identity and connect a user account where the provider cabinet is required.
  2. Assign the services and locations the person can actually deliver.
  3. Define normal weekly working hours.
  4. Add special days for exceptional opening patterns and time off/holidays for unavailable periods.
  5. Test one of the provider’s services in the customer booking form before making the provider active for public booking.

How it connects to other features

Services decide which staff are eligible; Locations can narrow where they work; Appointments occupy available time. Booking Settings/service-level notice and padding rules also affect whether a time can be offered.

What to expect after changes

Schedule changes affect future slot generation immediately. Existing appointments are records of already-booked time, so do not assume adding time off automatically resolves conflicts with appointments that were created earlier—review the Calendar/Appointments after schedule changes.

Using the Staff list

Use Staff as the bridge between service assignment and availability. A staff member can exist as an account but still be unsuitable for public booking if Show in Booking/Active/schedule/service assignments are not configured. Open the staff record when a service has unexplained availability gaps.
