Users

A user account is a person’s sign-in to your site. Staff use accounts to reach the admin panel; customers use them to book, shop, open support tickets and manage their own details. Roles decide what each account may do.

The Manage Users list with names, roles, verification, added dates and actions

Users → Manage Users. The list shows each person’s role, whether their email is verified and whether the account is active.

Where accounts come from

SourceWhat happens
You create themStaff, providers and anyone else you want to give access to: Users → Manage Users → Create New.
Visitors registerWhen registration is on, visitors create their own account at /register (or with a social login). New accounts receive the role chosen in Settings → General (Default User Role). See Visitor Accounts & My Account.
Booking and TruCommerceCustomers and providers of these modules are users too. Providers are created from Staff & Availability. Both appear in this list.
Website templatesImporting a website template together with its demo data can add sample staff and customers with the matching roles. Remove them before going live.

Creating and editing a user

The Create User form with details, password, account status, roles and profile picture

Users → Create New. Details and password on the left; status, roles and picture on the right.

  1. Open Users → Manage Users and choose Create New (or the edit action of an existing user).
  2. Fill in the details and password.
  3. Set Account Status and tick the Roles the person needs.
  4. Choose Create (or Update).
FieldWhat it does
NameThe person’s display name. Required.
UsernameA unique handle starting with @. Required.
E-Mail AddressMust be valid and unique. It is the person’s sign-in name and where TruCMS sends notifications.
AboutAn optional short biography (up to 500 characters).
Password / Confirm PasswordAt least 8 characters. Use the eye button to reveal what you type and Generate to create a strong password. When editing, leave empty to keep the current password.
ActiveInactive users cannot sign in. Use this to suspend an account without deleting its history.
Email verifiedMarks the email address as confirmed, so the person does not have to click a verification link.
RolesOne or more roles. The list shows each role with its description. Without a role the person can sign in but sees nothing in the admin panel.
Profile PictureJPG, PNG or GIF up to 2 MB. Shown in the admin panel, in comments and in the account area.
The Edit User form of an existing customer

Editing an existing user. The Joined and Last updated dates are shown at the top.

Give the least access that works

Choose a role that matches the job. A receptionist needs the Booking roles, not Super Admin. You can always add a role later.

Trash, restore and delete

The Trashed Users list

Users → Trashed Users holds accounts that were sent to the trash.

Giving several people the same role

Instead of editing users one by one, open Users → Roles, select the role and use Assign Role to tick several people at once. See Roles & Permissions.

How users connect to other features

FeatureLink to users
Booking staffA provider is a user with the booking-provider role plus a provider profile (services, hours, locations).
Booking customers and TruCommerce customersCustomers are users with the booking-customer role and a customer record.
Support ticketsTickets belong to the user who opened them.
Blog postsA post’s author is a user.

Permissions

Managing users is controlled by the Users group in Roles & Permissions (view, create, edit and delete). Give it only to people you trust with account access.

Troubleshooting

SymptomWhat to do

A person signs in but sees an empty admin panelThe account has no role, or the role has no permissions. Assign a role.
A new customer was not given the expected roleCheck Default User Role in Settings → General.
I deleted someone by mistakeIf you used Send to trash, restore them from Trashed Users. A permanent delete cannot be undone.
