Booking Appointments

Appointments are the operational heart of Booking.

Booking appointments list

Appointments is the main operational list for reviewing customer bookings, their timing and current state.

What this feature is for

Appointments are the operational record staff fulfil. They bring together the customer, service, assigned staff, date/time, status, price/payment state and related actions. Use the list for daily work; use the detail when changing something that affects the customer or the schedule.

Appointment status and payment status are different. A cancelled appointment can still require a refund decision, and a completed appointment can still have an outstanding balance. Keep both states accurate rather than using one as a shortcut for the other.

A practical way to use it

  1. Find the appointment from the list or Calendar and open the detail before changing it.
  2. Check service, staff, start/end time and customer details.
  3. Use operational status to describe the appointment lifecycle.
  4. Use the payment/refund workflows for money rather than manually forcing a financial status.
  5. After rescheduling or staff changes, recheck Calendar/availability and any notifications generated by the change.

How it connects to other features

Service duration/padding and Staff availability determine whether a slot should be valid. Notifications can react to appointment events. Payments and refunds flow through TruPayments. Invoices summarize the commercial record.

What to expect after changes

Rescheduling can consume a different staff slot; cancellation can release capacity and may create a refund request according to policy. Status changes can trigger operational notifications, so update them only when the real-world state changes.

Using the Appointments list

This is the operational main operational record for an individual booking. Use Service/Staff/Customer/Starts At to identify the appointment, Status to understand the service lifecycle, and Payment Status separately for money. Open the record before changing time/staff/status because those changes can affect availability, notifications and payment/refund follow-up.
