Provider / Staff Workflow

Give service providers a focused Staff Cabinet for their own appointments and availability without giving them full Booking administration access.

Booking providers list

Provider setup is one of the first steps in making services bookable.

Booking services list used by providers

Services connect the provider/staff side of Booking to what customers can actually select.

What this feature is for

The Provider / Staff Cabinet gives providers a focused workspace for their own schedule and appointments without exposing the whole administration panel. It is the preferred day-to-day interface when a provider only needs to manage their own work.

A practical way to use it

  1. Give the provider a linked user/account and appropriate role/access.
  2. Make sure their services, locations and schedule are configured by an administrator.
  3. Provider reviews Dashboard/Calendar/Appointments.
  4. Provider updates only supported appointment statuses/payments and records Time Off as permitted.
  5. Administrator retains broader control over global settings, service design, refunds and reporting.

How it connects to other features

The provider cabinet is driven by the Staff/Provider record and its user linkage. Permissions determine access; service/staff availability configured in admin determines what bookings appear.

What to expect after changes

Provider status/time-off changes can affect customers and future availability. Use least-privilege access so providers can perform their operational work without receiving unrelated administration capabilities.

How staff access works

A Booking Staff record can be connected to a user account. The account needs the permission to access the Booking staff cabinet, while the Staff record must be active and have Allow Staff Cabinet enabled. These two layers work together: the role controls what the account is allowed to access, and the Staff record controls provider-specific capabilities.

Staff controls that affect the experience

Staff optionEffect
Allow Staff CabinetAllows the staff account to use the provider-facing Booking area when its role also grants staff-cabinet access.
Can Manage ScheduleAllows the provider to add and remove their own time-off periods from the Staff Cabinet.
Can Manage CalendarMakes the provider calendar available for reviewing their appointments by date and status.
Can Manage PricesMarks the staff profile as permitted to manage pricing in Booking features that use this capability.
Show in BookingControls whether the provider can be presented as a selectable/public staff member in booking interfaces.
Send NotificationsControls whether provider-targeted Booking notifications should be sent to this staff member.
Is ActiveControls whether the provider profile is active for Booking operations.

Staff Cabinet dashboard

The dashboard is an operational summary for the signed-in provider. It shows Today's Revenue, Checked In Today, Unpaid Total, Active Services, Today's Appointments, Upcoming Appointments, and Pending Appointments. It also shows monthly revenue, a recent booking trend, status insights, upcoming appointments, and top services.

Use these numbers to decide what needs attention, then open the relevant appointment rather than treating the dashboard as an editing screen.

Working with appointments

The Staff Cabinet has an Appointments list for bookings assigned to the provider. Staff can open an appointment to review its details, use the allowed status workflow, add a payment where that action is available, and download an invoice when the booking has one.

The appointment list also includes booking-code/QR search. This is useful at check-in: staff can enter a booking access code or use the camera scanner, then open the matching appointment instead of searching a long list manually.

Using the provider calendar

When Can Manage Calendar is enabled, the provider can open Calendar and filter their scheduled appointments by status. The calendar is a staff-specific view; it does not grant access to every Booking appointment in the administration panel.

Blocking time off

Open Time Off to block a period when the provider cannot accept bookings. Staff with Can Manage Schedule can enter Starts At, Ends At, an optional Reason, and Full Day. Upcoming blocks remain visible for review, and previous blocks are kept in a past-time-off history.

External calendar blocks are different

Time-off entries imported from a connected external calendar are identified by their external source and are not deleted from this local list in the same way as manually created time off.

What still belongs to administrators

Administrators remain responsible for the provider’s Staff profile, role permissions, service assignment, global Booking settings, payment/refund policy, and other business rules. The Staff Cabinet is designed for day-to-day provider work, not for complete module configuration.

Designs of the staff pages

The staff member’s bookings and calendar pages use the designs chosen for Staff bookings layout and Calendar layout, and the calendar opens in the view set as Calendar default view (see Frontend Designs). The My Calendar block shows the calendar on any page (see Page Builder Components).
